01 · The "Before" Reality

The Tuesday-Morning Mess

Before Gabriela mapped the workflows, the entire company used Slack as a makeshift CRM, project management board, and file cabinet. Field techs and office staff dropped photos, scope notes, and scheduling requests into Slack channels without updating RocketPlan or CompanyCam. As a result, unqualified leads clogged the schedule, and finding the status of a restoration job required scrolling through hundreds of Slack messages.

02 · Single Constraint Diagnosis

Primary Constraint Locked In

Running an Entire Restoration Company Inside Slack Chat Threads - new leads, job updates, photos, and billing requests were dumped into unstructured Slack messages instead of RocketPlan and QuickBooks, causing leads to go unqualified and financial reconciliation/payroll trend data to lag behind.

Keep Slack strictly for notifications while enforcing that 100% of lead qualification, job documentation, and crew scheduling live inside RocketPlan, CompanyCam, and Humanity via step-by-step Playbooks.

03 · What Was Built in the Sprints

Specificity, Workflows & Playbooks

Mapped all core Lead Acquisition, Sales, and Fulfillment Workflows (Sprint 1), built new RocketPlan, CompanyCam & Humanity Execution Playbooks from scratch (Sprint 2), defined the Role Library (Sprint 3), and built the Company & Department Scorecards (Sprint 4) led by Operations Manager Gabriela Elvir Carias.

04 · Real Rollout Friction & Course-Correction

How the System Held Up in Real Life

When Gabriela reached Sprint 4 (Scorecards), she hit a roadblock: setting accurate weekly targets for the Company Scorecard required historical financial and job-cost trends from QuickBooks and the payroll clerk (Abby), which were backlogged. Because Gabriela's EdgeOS installation was working so well, Jimmy expanded his partnership with Edge on October 21, 2026 by onboarding a second specialist (Caryl Mazariegos, experienced in accounting, QuickBooks, RocketPlan, CompanyCam, and Humanity) specifically to own QuickBooks reconciliation alongside Gabriela and Abby!

05 · Before vs. After Operational Shift

What changed in the work.

Owner InvolvementJimmy had to monitor Slack threads all day and manually bridge gaps between field crews and QuickBooks.Gabriela runs EdgeOS workflows, playbooks, and scorecards; Caryl Mazariegos (2nd Edge seat) handles QuickBooks financial reconciliation with Abby.
Workflow ExecutionJobs managed ad-hoc in Slack; RocketPlan and CompanyCam updated inconsistently.Purpose-built Playbooks governing Slack -> RocketPlan -> CompanyCam -> Humanity handoffs.

06 · In Their Own Words

"Some playbooks are created from scratch with new processes and programs implemented. Others are being created with a very much needed optimized process... Most of all the apps that you use - like Slack, RocketPlan, CompanyCam, and Humanity - Gabriela gave me access, and now we're handing credentials to QuickBooks so Caryl can get with Gabby and Abby today."
