01 · The "Before" Reality

Growth Outpacing Manual Processes

As Rentor scaled property turns and renovation projects across multiple vendors, field completion updates were moving directly toward billing and key handoff without a standardized digital quality scorecard inside GoHighLevel to verify punch-list completion before the property manager walked the unit.

02 · Single Constraint Diagnosis

Primary Constraint Locked In

Quantitative Property-Turn Quality Verification & GoHighLevel Pipeline Alignment: establishing a formal photo and video quality verification gate between field completion and client handoff on property turns, while aligning GoHighLevel lead pipeline stages to the visual workflow.

Insert a mandatory Quality Verification Gate managed by Operations Manager Jessica Cavalcanti between field completion and final vendor payout or client handoff so every property turn passes a photo and video inspection checklist.

03 · What Was Built in the Sprints

Specificity, Workflows & Playbooks

Created a dedicated fourth core workflow - the Quality Control and Punch-List Verification Workflow - alongside Lead Acquisition, Sales, and Fulfillment, supported by the Post-Turn Quality Inspection Playbook inside GoHighLevel and Roam.

04 · System Rollout & Team Adoption

How the Playbooks Locked In Across the Team

During the live Sprint 1 workflow review, Darus Trutna and Operations Manager Jessica Cavalcanti recognized that in property turns, fulfillment speed must be paired with zero-defect handoffs. Jessica built a standalone Quality Control Workflow and linked mandatory photo and video verification checklists directly to the GoHighLevel fulfillment stage before vendor invoices are approved.

06 · In Their Own Words

"Having a clear roadmap and dedicated build blocks in Roam allowed us to take the EdgeOS framework and wire it directly into our Rentor tool stack, including a standalone Quality Control workflow in GoHighLevel for every property turn."
