Operations Manager for HVAC Companies
By Cole Kline, Founder, Edge Operations Managers
An HVAC operations manager runs dispatch, technician performance, maintenance-agreement visits and the weekly scorecard so the owner isn't the bottleneck through summer and winter peaks. The role usually pays off in owner-led HVAC companies of 10–50 people, where demand swings with the weather and every peak exposes gaps in scheduling and follow-up.
What the OM owns in HVAC
The dispatch board and call-priority rules (no-heat/no-cool first), tech ride-alongs and callback reviews, maintenance-agreement scheduling in shoulder seasons, install crew handoffs from sales, permits/inspections tracking, parts and truck-stock process, customer escalations.

Document these 5 SOPs first
If you're writing your first SOPs, start with the HVAC jobs that come up every week and pull you in when they go wrong:
- Answering and booking a service call
- Dispatching by call priority (no-heat/no-cool first)
- Running a maintenance-agreement visit
- Handing off a sold replacement to the install team
- Handling a callback
Write each one as the steps your best person already follows. The free EDGEos Playbook template above gives you a format to use (get it here).
Signs you need one
You're still the dispatcher at peak; agreement visits slip every shoulder season; callbacks aren't reviewed; techs come to you for every pricing call.

Book a callFrequently asked questions
Should my HVAC OM be a former tech?
Field knowledge helps with credibility and callbacks, but scheduling, people and systems skills matter most.
What does an HVAC OM do in the off-season?
Fixes the processes that broke at peak, runs agreement visits, hires and trains.
Does an OM replace a service manager?
Not usually. In larger shops the service manager reports to the OM.
